Sending a P452:37

"How does a person's P45 get sent when they leave?" 

The P45 is a form a leaving person gives to their next employer. 

A person's P45 is emailed out to them automatically when their final paystub is paid and filed. 

To send a person's P45, first set their leave date. 

To set their leave date: 

  1. Click:   Menu > People 
  2. Then choose the person who's leaving. 
  3. In this example we'll choose Sonia. 
  4. Now we'll go to: HR > Settings for dismiss, suspend, resign 
  5. Scroll down and set Sonia's: Date employment ended 
  6. Ignore the pop-up and click: Save 

Next, lets pay Sonia's final paystub: 

  1. By clicking the Final paystub button, that shows when you hover over the row. 
  2. Once the right panel opens, scroll down and click: Go to "Pay now" report 
  3. And finally, click: Pay now 

To check that their final paystub is paid and filed: 

  1. Go back to the final paystub and click the three-dots in the top right corner. 
  2. Then, click: Reload 
  3. You'll now see "Paid and filed" at the top. 
  4. This means that the person's P45 has already been automatically sent to their personal email address. 

If they haven't entered a personal email, their P45 will be sent to their work email. 

Here's what the person's P45 looks like in their email: 

  • The person's P45 is attached as a PDF at the bottom of the email. 
  • Click on the PDF to open it. 

The person's P45 includes: 

  • Their earnings for the year. 
  • It also includes how much tax they've paid for the year. 

Please also note: 

  • If you ever need to prove a person's P45's been sent, or need to re-download a copy of it, watch our video on Finding a sent P45. 
  • When a person starts their next job, they'll need their P45 to tell their new employer their tax code and other employment details. 
  • Once a person's P45 is sent it can't be changed or updated. HMRC requires that there's only one P45 per employment.

Finding a sent P451:27

"How do I find an employee's P45, or prove one's been sent?" 

You might need to re-download an employee's P45 if they can't find their copy. 

The first way to find an employee's P45 is to: 

  1. Click:   Menu > People 
  2. Then choose the person the P45 was sent to. 
  3. In this example we'll choose Sonia. 
  4. Scroll down to the See P45 button. 

The second way to find an employee's P45 is to: 

  1. Click: Pay > Tax forms history 
  2. And look for: "P45 sent" 

If the employee's P45 isn't listed, it may never have been sent. If so, watch our video on Sending a P45. 

Now that the employee's P45 is open: 

  1. You can see when it was sent. 
  2. You can also see which email address the employee's P45 was originally sent to. 
  3. And finally, you can click the Download PDF button to re-download a copy of the employee's original P45.
