Who can see my payslips and how do I open them?

"Who can see my paystubs and how do I open them?"

Because of the sensitivity of pay info, there's strict control over who can see your paystubs.

As a regular person, without any special permissions, to see your own paystubs:

  1. First, from your home screen, tap: My paystub
  2. In many cases, your current paystub may not be due to be filed yet.
  3. If it's not filed, you'll see the "Not filed & paid yet" message.
  4. To skip back a paystub to the one that's been previously filed, tap: Previous paystub
  5. And when you scroll to the bottom, you'll see a preview of your paystub PDF.
  6. And back to the top of the page, you'll see Download PDF, which you can tap to download a PDF of your paystub.
  7. To see a list of all your filed paystubs:
    Go back on your home screen, and tap: Me
  8. Then tap: "Pay", then "Paystubs history"
  9. And finally, tap any of the paystubs to see it.

You're now seeing the login of a person with "Full payroll admin" permissions.

To see other people's paystubs, if you've got "Full payroll admin" permissions:

  1. First, select the pay batch on: "Menu", then "Pay batches"
  2. Then tap: "Pay", then "People"
  3. On the "People" report, each green circle represents a filed paystub.
  4. Tap on them to see that person's filed paystub for that date.
  5. Where there's no green circle, then that pay period's paystub hasn't been filed yet.
  6. If you tap where a green circle's missing, you'll see that person's un-filed paystub for that date.
  7. If there's a warning that's blocking the paystub from being filed, you'll see any warnings near the top.
  8. If there's no warnings, then to file it now, scroll down and tap: Go to "Pay now" report
  9. The person's paystub is automatically selected, so to file it tap File & pay, and then: Yes ... file it
  10. It usually takes 15 to 20 seconds for HMRC to finish processing the paystubs and send back confirmation that it's been received.
  11. Once it's been filed successfully, you'll see a green check beside the paystubs that you've filed.
  12. Then back on the "People" report, tap the "Reload tab" button: (at the top), to update the newly filed green circles.
  13. And finally, you'll now see the recently filed paystubs are now also marked with a green circle, meaning it's been filed and confirmed by HMRC.

Keep in mind that:

  • All regular people, including those without any special permissions, can always see their own filed paystubs.
  • However, only people with at least "View payroll admin" permissions can see the paystubs of other people.
  • To see the people in your org who've got "Full payroll admin" permissions, tap: "Menu", then "List payroll admins"
